Media Credentials

The Road America Communications Department is dedicated to providing members of the media with the best service and information necessary for optimal coverage of track events. The information on this web site is designed to assist you in planning your coverage of Road America events and will help ensure a positive track experience.

Credential requests must be submitted at least tWO weeks in advance of the event weekend. Please understand that due to the large influx of requests, we must have time to review and allocate credentials accordingly. Unfortunately, media requests received after the deadline two weeks prior to the races may not be honored.

There are two ways to submit a credential request, via mail or e-mail (no faxes). All requests must be sent on company letterhead or from the e-mail account of the editor or director making the assignment. The request must be dated or postmarked by the deadline two weeks prior to the event weekend. For those applying for media credentials at Road America for the first time, the media application must be completed and accompany your credential request letter on company letterhead. For your convenience, media credential applications may be downloaded by clicking here.

Additional informaiton on Road America's credential policies and application procedures can be found by clicking here.

Please mail or e-mail your credential request to:

John Ewert
Communications Director
Road America
PO Box 338, Elkhart Lake, WI 53020 - 0338

jewert@roadamerica.com

Please be specific in your list of needs and note that we may not be able to honor multiple credential requests from a single source. Editors and directors are reminded to request working credentials only for working personnel and must supply the contact information, (Name, Title, Address, Phone, and E-mail) of the assigned personnel to receive a confirmation. Please specify all duties (writer, photographer, etc.) in your letter with the application. The requesting media will be held responsible and future credential requests will not be honored if holders of working credentials are found to be non-working guests or clients.

Publications and web sites who have not covered Road America events within the last year must furnish proof of regular motorsports coverage with their credential request. If you were here for a recent race weekend, please submit print/audio/video clips from your Road America coverage.

Confirmations will be sent via e-mail for requests received by the deadline. Members of the media who are approved for an event credential will receive a confirmation one (1) week prior to the event. No changes on confirmed requests will be accepted after two weeks prior to the event weekend. All changes requested must be explained in writing and signed by the editor or director. If a confirmation has not been received one (1) week prior to the event, please contact the Communications Department before arriving at the track.

Credential Requirements: All persons receiving credentials must sign a release discharging Road America from any liability for personal injury or property damage sustained while on the grounds of Road America. In receiving a credential, the holder represents that he or she is a bona fide employee of the assigning media, and is covered by Workers Compensation while performing his or her duties at the event. Media credentials and photo vests at Road America are issued only to recognized newspapers, news/wire services, motorsports publications, national and local television news stations and local radio networks, and other publications or internet sites that regularly cover motorsports. All credential applications must be requested by the editor, sports editor, photography editor, or sports director, and are subject to verification. No freelance journalist or photographer will be credentialed on an individual basis. Road America reserves the right to make all decisions regarding who will be granted credentials and the number of credentials issued per news organization. Road America also reserves the right to revoke the credential and photo vest of any individual at any time. Credentials are NON-TRANSFERABLE.

Photographers are reminded that pre-race photographers meetings are mandatory and failure to appear at one of the non-race day or race day meetings will result in revocation of credentials or non-issuance of a photo vest at the discretion of Road America. Failure to adhere to working policies and regulations detailed at meetings may result in loss of credentials and or a revocation of rights. Photos cannot be used for commercial or retail purposes without express written permission by the visiting series and/or Road America.

Dress Code: While the dress code has been relaxed in recent years, we recommend proper attire in the paddock and garage areas. We suggest you avoid wearing shorts, sleeveless shirts, skirts, dresses and open-toed shoes.

Credential Registration: All track-issued credentials must be picked up on the event weekend at GATE 3, located just off county road J and additional information will be included in the confirmation. Please do not come to the track admin office or media center for credentials. Registration hours will be listed in the confirmation. A valid photo I.D. is required.
